Booking and Refund Policy

This policy applies to all services coordinated through MedicalMex and its affiliated platforms and websites.

By submitting a booking payment or engaging services, the patient agrees to this policy.

Booking and Appointment Reservation

To reserve a consultation, procedure date, or treatment experience, patients are required to submit a booking payment or activation fee.

This payment:

  • Initiates coordination services
  • Secures scheduling with the selected medical provider
  • Allocates operational, clinical, and logistical resources

Booking payments are applied toward the overall treatment experience but do not represent full payment for medical services.

Coordination Services

Upon receipt of a booking payment, MedicalMex begins providing coordination services, which may include:

  • Scheduling and provider allocation
  • Case management and communication
  • Preparation and logistical planning

These services are considered rendered once coordination begins.

Treatment Quotes and In-Person Evaluation Adjustments

Treatment quotes provided prior to travel are preliminary estimates based on limited and self-reported information, including:

  • Medical history
  • Photographs or imaging
  • Remote consultations or assessments

Patients acknowledge that:

  • Preliminary quotes are not final treatment plans
  • Final recommendations, procedures, and pricing are determined only after in-person medical evaluation
  • Treatment scope, techniques, or number of procedures may change based on clinical findings
  • Additional or alternative treatments may be recommended to achieve safe and appropriate outcomes

Changes in treatment plans and pricing may occur due to:

  • Medical conditions not fully visible or disclosed prior to evaluation
  • Anatomical or clinical findings identified during in-person assessment
  • Physician judgment regarding safety, candidacy, or expected outcomes

Patients will be informed of material changes prior to proceeding and may choose to accept or decline the updated treatment plan.

By proceeding with treatment, the patient acknowledges and accepts that:

  • Final treatment decisions are made by the treating medical provider
  • Pricing adjustments resulting from in-person evaluation are valid and enforceable
  • The patient is responsible for the final agreed balance associated with the updated treatment plan

Cancellation and Refund Policy

Booking payments are refundable only if a cancellation request is submitted at least 15 days prior to the scheduled appointment date.

  • Cancellation ≥ 15 days → eligible for refund
  • Cancellation < 15 days → non-refundable

This is due to coordination services performed and provider scheduling commitments.

All refund requests must be submitted in writing to:

Refund processing times may vary depending on payment method and jurisdiction. International refunds may take up to 30 days or longer.

Medical Eligibility

All treatments are subject to final medical evaluation by the treating healthcare provider.

Patients acknowledge that:

  • Eligibility is determined by licensed physicians
  • Treatment plans may be modified based on clinical findings
  • Procedures may be postponed, modified, or declined for safety reasons

In such cases:

  • Coordination and scheduling services are considered rendered
  • Booking payments may not be refundable

No Guarantee of Outcomes

Patients acknowledge that:

  • Medical and aesthetic procedures do not guarantee specific outcomes
  • Regenerative and interventional treatments involve biological variability
  • Dissatisfaction with results does not constitute grounds for a refund

Transportation and Logistics

Certain treatment experiences coordinated by MedicalMex may include transportation and logistical support as part of the overall patient experience. These services are provided for coordination and convenience purposes only and may vary depending on the treatment program and individual arrangements.

Transportation and logistics may include airport transfers, transportation to and from medical facilities, and coordination of lodging or scheduling. These services are limited to planned and scheduled activities related to the treatment experience and do not constitute personal or on-demand transportation services.

Patients acknowledge that transportation and related services may be provided directly or through independent third-party providers. MedicalMex does not operate as a transportation carrier and is not responsible for the actions, delays, incidents, or conduct of drivers or third-party providers.

Patients are responsible for complying with all applicable laws, safety requirements, and travel regulations. This includes compliance with customs, immigration, and transportation laws. Patients agree not to transport illegal substances, weapons, restricted items, or undeclared materials. MedicalMex is not responsible for any delays, detentions, denied entry, penalties, or legal consequences resulting from non-compliance with applicable laws. Failure to comply may result in cancellation of services without refund.

Patients are responsible for disclosing any relevant conditions or circumstances that may affect transportation or coordination, including medical conditions requiring assistance or the transport of regulated items. Failure to disclose such information may impact services and releases MedicalMex from related responsibility.

Patients are solely responsible for their personal belongings at all times. MedicalMex and associated providers are not responsible for lost, stolen, or damaged items, including items left in vehicles, facilities, or accommodations.

Patients traveling with companions acknowledge that companion services are not guaranteed unless explicitly included in the coordination plan. Companions are subject to the same policies and conduct expectations, and additional costs may apply. MedicalMex reserves the right to limit or restrict companion participation when necessary.

Transportation and logistics are provided as part of a coordinated experience and are not personal services. Any misuse of services, failure to follow instructions, or disruptive conduct may result in modification or cancellation of transportation and related services.

Once transportation or logistical services have been initiated, including driver dispatch, pickup coordination, or scheduled movement, such services are considered rendered and are non-refundable.

To the fullest extent permitted by law, MedicalMex is not liable for transportation-related incidents, delays, accidents, or disruptions. Patients assume responsibility for risks associated with travel and transportation.

MedicalMex reserves the right to modify, suspend, or cancel transportation and logistics services when necessary due to safety concerns, legal or compliance issues, operational constraints, or circumstances beyond its control

Financial Responsibility

Patients are responsible for fulfilling all financial obligations associated with their treatment experience.

Patients acknowledge that:

  • A confirmed booking represents a commitment to pay
  • Outstanding balances must be paid at the time of service

Patients further acknowledge that:

  • Any additional services, procedures, or upgrades requested by the patient, or recommended by the treating medical provider based on clinical findings, are considered part of the treatment experience
  • Such additions may result in adjustments to the final balance

By proceeding with treatment, the patient agrees to pay the full balance associated with the final treatment plan, including any approved modifications or additional services.

If services are rendered and full payment is not completed at the time of service, the patient remains responsible for any outstanding balance, regardless of departure or return to their home country.

MedicalMex and/or its affiliated entities reserve the right to:

  • Issue invoices for any outstanding balance after the patient returns home
  • Pursue collection of unpaid balances through appropriate channels
  • Apply administrative fees or interest on overdue balances where permitted by applicable law

For patients located in the United States or where payments are coordinated through U.S.-based entities, collection and enforcement may be conducted in the patient’s home jurisdiction in accordance with applicable laws.

Payment Obligations After Service

If medical services are received and full payment is not completed:

  • The patient remains responsible for any outstanding balance
  • Payment obligations remain enforceable after returning home

Failure to complete payment may result in:

  • Collection efforts
  • Administrative fees or interest where permitted
  • Enforcement in the patient’s home jurisdiction, including the United States where applicable

Payment Disputes and Chargebacks

Patients agree to address billing concerns through official communication channels prior to initiating disputes.

In the event of a chargeback or payment dispute:

  • Documentation may be provided to financial institutions, including agreements, communications, scheduling confirmations, and evidence of services rendered
  • Claims are evaluated based on documented terms and services

Fraudulent disputes or misrepresentation may result in action under applicable laws.

Due to the binational nature of services, coordination, and commercialization, such matters may be addressed in Mexico and/or the United States.

 

Final Acknowledgment

By submitting payment, the patient acknowledges and agrees to this policy in full.
